The Purchasing Department of Suffolk Public Schools encourages and invites all parties interested in providing supplies, equipment, goods and/or services to become familiar with the purchasing operation of our school division.
Our procedures and policies are based on the Virginia Public Procurement Act and our goal is to provide the school division with the highest quality product in a timely manner and at the best value.
Below is information that vendors may find helpful in doing business with Suffolk Public Schools.
Bidder Application
Vendors can add their business to the bidder's list or update information electronically. Be sure to include all information that is requested. Being on the bidder's list will ensure that the vendor will receive bid documents for any formal bid that pertains to a commodity or service that they have marked on the commodity code list. It is the vendor's responsibility to update information regarding their business.
Current Solicitations
All current formal and informal solicitations may be accessed through the link above (effective May 1, 2007). Vendors may also view current solicitations on the Purchasing Bid Board at the School Administrative Offices. In addition, construction bids and Requests for Proposals are advertised in the Pilot and the Suffolk News Herald newspapers. Notices of Award may be viewed electronically or by checking the Bid Board.
Levels of Soliciting Price Quotes
- Competition is not required when the estimated value of a single order or term contract is $3000 or less. Pricing at this level may be conducted by the school or department.
- Three price quotes via phone, fax or email are required when the estimated value of a single order or term contract is more than $3000 but $10,000 or less.
- Written price quotes from four qualified vendors or an Informal Request for Proposal is required when the estimated value of a single order or term contract is more than $10,000 but $50,000 or less.
- An Invitation to Bid or a Request for Proposal is required when the estimated value of a single order or term contract is expected to be greater than $50,000.
